Certificate of insurance tracking for contractors & property managers
Know every sub is insured before they step on site.
CoverClerk collects certificates from your vendors, reads every line of the ACORD 25, checks it against your requirements, and chases renewals for you. The spreadsheet retires; the audit trail stays.
Send one link
Each vendor gets a no-login upload link. Their office or their agent drops in the PDF. Nothing to install, nobody to train.
We read the certificate
Limits, dates, additional-insured and waiver endorsements are pulled off the form and compared with your requirements per project. Anything the AI isn't sure about is flagged for a 30-second human check.
Renewals chase themselves
Vendors get reminders 30, 14, 7 and 1 day before expiry with their upload link. You get one daily digest of who's out of compliance.
The certificate says “$1,000,000”. Does it actually cover you?
Most certificates look fine at a glance. The problems hide in the details: an aggregate that's half what your contract requires, a workers' comp line that expired last month, an “additional insured” box that was never checked, or a description of operations that names the wrong project. When a claim comes, those details decide whether the sub's carrier pays or yours does.
- Per-line limits checked against each occurrence, aggregate, products/completed-ops, CSL and employer's liability minimums
- Additional insured, waiver of subrogation and primary & non-contributory read from both the checkboxes and the description box
- Different requirements per project or per trade — high-risk subs can be held to higher limits
- Every upload, correction, reminder and change recorded in an exportable audit log
- Works with certificates from any agency or carrier — PDF or a photo from a phone

Questions
- Do my subs need an account?
- No. They get a link; they upload a file. If their agent handles certificates, they can forward the link to the agent.
- How accurate is the reading?
- Clean PDFs from an agency are read correctly the vast majority of the time. Photos, faxes and handwritten changes are flagged for review, and correcting a field takes seconds — the certificate is displayed next to the form.
- Is this legal advice? Does it replace my broker?
- No. CoverClerk checks a certificate against limits and endorsements you define. Your broker or attorney should still set those requirements. We just make sure every certificate is actually held to them.
- Where are certificates stored?
- Encrypted at rest in private cloud storage. Only your team can view them; vendor upload links can only add files, never read them.
- Can I bring my existing spreadsheet?
- Yes — email support@coverclerk.com a CSV of vendors and we'll import it for you during your trial.
