The service
CoverClerk is software that stores certificates of insurance, extracts data from them, compares that data against requirements you define, and sends reminders. It is a tool to help you review certificates. CoverClerk compares documents to criteria you define and confirm; it is not insurance advice, legal advice, or a guarantee that any vendor is adequately insured. Results such as “meets requirements” mean only that the data read from a certificate satisfied the criteria you set, at the time it was checked.
Your requirements
Before any certificate is assessed you confirm the insurance requirements it will be compared against. Until you do, CoverClerk shows “requirements not confirmed” rather than a result. Starter values are offered as a convenience only; you should have your broker or attorney confirm that they fit your contracts and your state.
Vendor email
Reminder emails are sent to vendors on your behalf and in your name. Every message carries a working unsubscribe link and our mailing address. A vendor who opts out stops receiving automated reminders from your workspace; their status in your workspace does not change, and we tell you so you can contact them directly.
Your responsibilities
You are responsible for setting appropriate insurance requirements, for reviewing extracted data (automated reading can make mistakes, and we flag uncertain results for your review), for the accuracy of vendor contact details you provide, and for ensuring you have the right to email the vendors you add. You must not upload content you do not have the right to share.
Accounts and billing
Trials are free for 14 days and require no payment method. Paid plans are billed monthly in advance through Stripe and renew automatically until cancelled. You can cancel at any time from the billing portal; cancellation takes effect at the end of the current billing period and no partial refunds are given. Plan limits (such as vendor counts) are enforced by the software.
Data
You own your data. We process it as described in the Privacy Policy. You can export your audit log at any time. After cancellation, data is retained for 90 days and then deleted.
Availability and support
We aim for the service to be available continuously but do not guarantee uptime. Support is by email at support@coverclerk.com and we respond within one business day.
Limitation of liability
To the fullest extent permitted by law, CoverClerk is provided “as is”. We are not liable for indirect, consequential or special damages, or for losses arising from reliance on extracted data, missed reminders, or a vendor's insurance being inadequate. Our total liability for any claim is limited to the fees you paid us in the twelve months before the claim.
Termination
You may close your account at any time. We may suspend accounts that abuse the service, fail to pay, or violate these terms, and will tell you why.
Changes and governing law
We will email account owners about material changes to these terms before they take effect. These terms are governed by the laws of the State of Texas, United States.
